Job Title: Advertising Project Management Lead
Location: Kenilworth, New Jersey
Type: Freelance / Contract
Our pharmaceutical client in Kenilworth, NJ is looking for an Advertising Project Management Lead to come onboard their in-house studio. This is a full time opportunity that will begin remotely due to the pandemic but will be on site in Kenilworth, NJ eventually. The ideal candidate has a strong understanding of creative agency process such as creative reviews, agency workflow and has led a team at an advertising agency in past.

Project Management Team Lead Requirements:
  • Minimum 8 years pharmaceutical advertising agency project management experience
  • Minimum 5 years management experience needed in a pharmaceutical marketing operations or project management environment
  • Fluent in Smartsheet, Jira, Microsoft Applications
  • Comprehensive understanding of medical legal review process
  • Strong understanding of project management methodologies including Waterfall and Agile across video, digital, development, and creative functions
  • Proficiency in Excel required
  • In-depth understanding of project management best practices, tools, and applications, and how to best apply to in-house agency’s businesses
  • Understands print and digital design, web development, and video production processes
Project Management Team Lead Responsibilities:
  • Leadership
    • Provides guidance and oversight to the Project Management Team Lead(s), Project Management SME(s), and Project Managers to ensure all projects are executed accurately and effectively within approved strategies
    • Serves as the initial point of escalation for the team for all project management related issues
    • Collaborates with internal stakeholders, Client Services, the Project Management Team Lead(s), and Project Management SME(s), to create required documentation to meet clients’ business needs and ensure all projects are accurately scoped, estimated, resourced, communicated, and aligned with organization’s service offerings
    • Develops and leads implementation of project management best practices, including processes, guidelines, policies, workflows, and procedures, and monitors to ensure all are followed
    • Researches, organizes, and disseminates relevant information to the team, including corporate policies and procedures to ensure team compliance
    • Demonstrates a real sense of caring for the team’s professional and personal well-being
    • Encourages a positive, nurturing, and professional culture that values and is committed to excellence and continuous improvement
  • Operations
    • Manages schedules, budgets, assets, and overall project organization to ensure the team meets project requirements and exceeds client expectations
    • Reviews work and assists with the preparation of timing and cost estimates, budgets, change orders, invoices, and client status reports
    • Anticipates and assists with client challenges, provides back-up as needed, and steps in to rescue at-risk projects
    • Regularly and proactively monitors workflow, team metrics, studio metrics, processes, projects, and documentation to instill a mindset of continuous improvements
    • Creates response plans to address organization gaps and evolving business needs
    • Gathers, analyzes, and reports on organization metrics to senior management and clients
    • Provides subject matter expertise in the following areas:
    • Agency workflow
    • PromoMats/Medical Legal Regulatory review systems
    • Monthly billing procedures and execution
  • Staff Management and Resourcing
    • Responsible for staffing plans and resource allocation based on
    • Utilization metrics
    • Client and business alignments
    • Experience and skillsets
    • Capacity within project time frame, project tier, type, and distribution
    • Team member development goals
    • Recruits, interviews, onboards, and trains new team members
    • Manages or assists with key accounts to ensure delivery of quality service
    • Attends client intake meetings as needed to gather an understanding of the project requirements prior to assigning resources
    • Coaches, mentors, and develops team members relative to departmental goals
    • Proactively addresses team members’ performance issues and provides appropriate feedback
